Hi, Data Doctors Project Members:

This is in response to the post: https://www.wikitree.com/g2g/730694/did-the-data-doctors-project-send-out-a-survey?show=730694#q730694 and as a general Data Doctors Project announcement.  

All members of the Data Doctors Project received an email from me with an attached Word survey sent on 9 Dec 2018. I sent 580 emails individually to all. (Well, my handy tool made it so I could push 1 button to send 580 individual messages with individualized surveys to each person).

We understand from responses that not all members have access to Word, but using free tools I have for creating, distribution, and then collection and analysis, this was the most feasible way to do it.

That said, I have received a few WT private emails asking if I sent it, and indeed I did.  Having worked in the eDiscovery/litigation world, I assure you that both the email and attachment are free from any viruses and safe to open and complete as you are able.

Others have indicated that we didn't indicate the reason for the survey and this post is to provide that.  

We want to know:

  1. Your preferred name:  the WT full name is as it is entered in your profile and we want to know what you like to be called for improved communication. For example, it is hard to personalize "A. B. Smith" from the name alone - so we would like to know if your Preferred Name (preferred to be known as) Abby Smith if your WT ID shows A.B. Smith (Jones) aka Morris.
  2. if you want to continue in the Data Doctors Project as a "badged" member. If you decide to leave, you are welcome back and your departing comments about your time on the project are appreciated.
  3. if you want to join the project's Google Group [DDGG] communication forum if not already a member, and if you are already a member, that you want to remain in the group.  There has been some confusion of who is in the DDGG  because if you didn't specify a Display Name when you joined, the name displayed is parsed from your email address used.  For example, it would be hard to know who myfamilygenealogy is as a WT member when taken from the email address: myfamilygenealogy@yahoo.com.   We will remedy this in the new year.
  4. Last, for continuing members, we ask for comments on both the [1] survey and the [2] Data Doctors project for your ideas and suggestions.

Based on responses, we have confirmed what we knew, some do not have Word or work from a phone or tablet and couldn't open the document.  That is great info to have going forward.  In those cases, please let us know by replying to the email with the attached survey [original email]  if you need another method and why as we are tracking the "technical glitches".

Some could open the survey but couldn't find the arrows.  If you have Word - the form is set up - click on the grey letters, then at the right a "►" (the arrow will be pointing DOWN) will appear, click on that and for the date will display a calendar, and for the multiple choice with display your choices and click on one for your answer.

Use the TAB key to move through the form.  

For the comments, click on the grey area and type your answer - the form will expand to allow you to type in your complete comments.

We didn't put this in the body of the email, or the survey in the email for both space and collection considerations.

I hope this clarifies what we are trying to accomplish.  We would like 100% response from all members, and truly are taking your responses into consideration and will follow up with each of you personally if your responses require action on our part.

Thank you for your responses so far. In just one day, we have received 243 responses which is almost half our membership.  Let's make it 100% before December 25!

We appreciate your input as this helps get our membership accurate for 2019, improves communication both on G2G and in the DDGG, and gives us suggestions for overall improvement of the Data Doctors Project.

In short, your participation is both important and vital to the health of the WT One-World Tree and we want to improve the project based on your answers.

Please do NOT post any answers on G2G to the questions above.

CORRECTION: In the survey, there is an instruction to "REPLY TO ALL".  This should have been removed.  Originally a CC would have gone to the DD Project Management email, but some didn't want to get them, so that address was left off.

Each and every member received his/her own email so would not have received replies for all other member responses if the Reply to ALL was marked.  I am the only one who receives the responses for further action and it was sent from my gmail account which has my full name as it appears (without the middle name initial S.) in my WT profile.

In the future, you might consider creating a survey in Google Docs, and just sending the link to everyone.  Then you won't run into the problem of people having MS Word, or surveys with attachments ending up in a spam folder, or people panicking about attachments.  There are presumably other free, useful options.

That was considered, but no option to individualize the survey which is populated with demographic data unique to each member.

We will review options for the future, but free options are limited.
